Terms of Business

1. About us
These Terms of Business apply to bookings and services provided by The Drama Patrol CIC(“we”, “us” or “our”), a Community Interest Company providing Theatre in Education programmes, workshops, performances and related services to primary schools and other educational settings.
By confirming a booking with us, you agree to these terms on behalf of your school or organisation (“you” or “the Client”).
2. Enquiries and bookings
Enquiries may be made by email at info@thedramapatrol.co.uk or by telephone on 07356268305. A booking is confirmed once we have issued written confirmation and any agreed deposit or purchase order details have been received.
You are responsible for ensuring that booking details, including dates, times, year groups, participant numbers and venue information, are accurate at the time of confirmation.
3. Fees and payment
Fees will be agreed in writing before your booking is confirmed. Unless otherwise stated, prices are exclusive of VAT. Where VAT applies, it will be shown on your invoice.
Payment terms will be stated on your invoice or booking confirmation. We reserve the right to postpone or cancel a visit if payment is not received in accordance with agreed terms.
4. Cancellations and rescheduling
If you need to cancel or reschedule, please contact us as soon as possible. Cancellation charges may apply depending on how close to the visit date notice is given. Any applicable charges will be confirmed at the time of booking.
We will use reasonable efforts to reschedule visits affected by circumstances within your control or ours. If we are unable to deliver a confirmed visit due to circumstances beyond our reasonable control, we will offer a reschedule or a refund of fees paid for the affected visit, as appropriate.
5. School and venue responsibilities
The Client remains responsible at all times for the supervision, behaviour and safeguarding of pupils and for ensuring that appropriate school policies are followed during our visit.
You agree to provide a suitable space for the session or performance, including safe access, reasonable setup time, and any equipment or facilities agreed in advance (such as power, seating or staging arrangements).
A named member of staff must be present throughout the session unless otherwise agreed in writing.
6. Safeguarding
We are committed to safeguarding and promoting the welfare of children and young people. Our staff and associates working in schools are expected to comply with your safeguarding policies and procedures, and we will provide relevant documentation on request.
7. Health and safety
We will take reasonable care in the delivery of our services. You must inform us in advance of any relevant health, safety or access requirements, and of any pupils with particular needs that may affect participation.
8. Photography, filming and publicity
We will not photograph or film pupils unless prior written permission has been obtained from the school. Any photography or recording for promotional purposes will only take place with explicit school consent and in accordance with your policies.
9. Intellectual property
All scripts, resources, materials and content provided by us remain our intellectual property unless otherwise agreed in writing. Schools may use accompanying resources for internal educational purposes in connection with the booked programme, but may not copy, distribute or commercially exploit our materials without permission.
10. Limitation of liability
Nothing in these terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
Subject to the above, our total liability to you in connection with any booking shall not exceed the fees paid for that booking. We shall not be liable for any indirect or consequential loss, including loss of profit, loss of opportunity or reputational loss.
11. Confidentiality
Each party will treat as confidential any non-public information received from the other in connection with a booking, except where disclosure is required by law or necessary for the delivery of the services.
12. Changes to these terms
We may update these Terms of Business from time to time. The version published on our website at the time of your booking confirmation will apply to that booking unless otherwise agreed in writing.
13. Governing law
These terms are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, without prejudice to your statutory rights.
